Your planner
Set it up, write in it, design it, print it and share it.
Getting started
- Create your first plannerAdd a planner to your Library with New, then open it and answer the setup questions. Your planner is ready when you finish.
- What the setup questions meanA plain guide to each setup question, from your planner's language to its start month, and where to change each answer later.
- Open a planner from your LibrarySelect a planner's card in your Library to open it. It opens on the page you left it on, on that device.
- View mode and edit mode: what's the difference?A planner opens in view mode for reading. Select Edit to write, add pictures and stickers, and change tabs and pages.
- Move around your planner: tabs, months and page turnsUse the tabs along the top, the month tabs on the right edge, and Previous and Next under the planner to get anywhere.
- Jump to a month with the month tabsThe month tabs on the right edge of your planner always take you to that month's weekly pages, from any section.
- Zoom in, fit the page and go full screenZoom from 50% to 300% with the buttons above your planner or a pinch, drag to move around, and go full screen for a bigger page.
- See one page at a time or a two-page spreadUnder Page Layout in Planner settings, choose Auto, Two-page spread or Single page. Auto shows two pages on a computer.
- Does my planner save automatically?Yes. Every change saves as you make it. The status next to Edit shows Saved, Saving..., Offline or Couldn't save.
- Find anything with Search PlannerSearch Planner finds words you typed anywhere in a planner and takes you to the page they are on.
- See the planner before you buyThe One Stop Teacher Planner's page in the Shop shows what the planner looks like and what it does.
- Keyboard shortcuts in the plannerSearch, turn pages, zoom, undo, copy and more from the keyboard. On a Mac, use Cmd wherever this says Ctrl.
- Why is Edit greyed out, or View only?A planner shared with you as view only shows View only where Edit would be. Edit is greyed out when your One Stop Teacher Planner subscription has ended.
- I left setup before finishing. Where is my planner?Leaving with the X keeps the planner in your Library. Open it again within half an hour and setup picks up where you left off.
Weekly pages
- How the weekly pages workEach week is a two-page spread with a grid of your rows and days, the week's date, a Notes box and a quote.
- Choose a weekly layout: subjects, time blocks or rotating daysPick a Subject, Time Block, Class Period or Rotating Day Planner. You can switch later without losing a single lesson.
- Rename your subjects or time blocksOn your weekly pages, in edit mode, double-click a row's name to rename it, or change every name at once in Theme Studio.
- Set the times for each time blockOn a Time Block Planner, double-click a row in edit mode to set when it starts and ends, and add an optional label.
- Make one row bigger or smallerGive a row a size in Theme Studio: 2 makes a double block, and a smaller number such as 0.5 makes a short row for lunch.
- Put your subjects across the top instead of down the sideChoose Subjects on Top in setup, or On top under Subject placement in Theme Studio, to run the days down the side.
- Write lesson plans in the weekly gridTurn on Edit, then click or tap a cell in the weekly grid and type. Each cell holds its own text.
- Set up A/B days or a rotating day cycleA Rotating Day Planner marks each school day with a rotating letter or number, starting on your first day of school.
- Change the letter or number on one dayIn edit mode, double-click a day's letter to pick a different one. Only that day changes; the rest of your cycle stays put.
- Set your school year and days offIn Planner settings, select Manage days to set your first and last day of school and mark holidays and breaks.
- Fill in days off from your district's calendarUpload your district's school calendar as a PDF or photo. The planner reads its days off, and you choose which to add.
- Move a day's plans forward after a snow dayWhen you close a day with lessons or other things in its cells, a bubble in edit mode offers to move them forward one school day, with everything after them.
- Change the month your planner starts and the first day of the weekChange the start month under Start Month in Planner settings, and the first day of the week in Theme Studio.
- Show 4, 5, 6 or 7 days in your weekChoose how many days each week shows and which day it starts on. The days left out become your weekend.
- Show the date next to each day's nameTurn on Show dates on weekdays in Theme Studio to add each day's date after its name, like MONDAY 08/03, and pick how it's written.
- Hide months you don't needIn edit mode, the small button above the month tabs lets you hide months, such as summer, from your planner.
- Why did my plans move to different dates?Plans are kept by their week in the planner, not by date, so changing the start month or hiding a month moves them.
- The quote at the bottom of each weekEach week shows a different quote along the bottom. You can change one week's quote, restyle it, or remove it in Theme Studio.
Tabs, sections and pages
- The tabs along the top of your plannerCover, Planner and every section you add each have a tab. Select one to jump there, and use Edit to add, rename, reorder or delete sections.
- Add a section tabAdd ready-made sections like Grades, Notes, Attendance or Calendar to your planner, each with its own pages and cover page.
- Rename, reorder or delete a tabRename a section you made, drag tabs into your own order, or delete a section along with everything in it.
- Make your own section with its own nameCreate a tab with any name, like Math Block, then fill it with pages from any section or with blank pages of your own.
- Add, rename, reorder and delete pages in a sectionManage pages lets you add pages to a section, rename them, change their order, duplicate them, copy them to another tab or remove them.
- Duplicate a pageMake a copy of a page, with its design and everything you wrote and placed on it, right after the original or at the end of another tab.
- The cover page at the start of each sectionEvery section you add opens with a cover page, like a divider in a binder. Here's how to find it, add to it and change its words.
- Use Notes pagesThe Notes section gives you lined notes and meeting notes pages designed to match your planner. Write on them, add more and print them.
- Class Info pages: class lists, schedules and contactsThe Class Info section keeps your class list, daily schedule, birthdays, parent contacts, emergency procedures and more in one place.
- Keep grades in the gradebookThe Grades section gives you gradebook pages. Type names and scores, fill names from your roster, and keep a page per subject or term.
- Take attendanceThe Attendance section gives you an attendance sheet across two pages. Add your students and mark each day right in the sheet.
- Monthly calendarsThe Calendar section shows a two-page calendar for each month of your planner. Write on any day and see your days off marked.
- Planning pages: small groups, guided reading and curriculum mapsThe Planning section has curriculum maps, small group planning pages, and guided reading and guided math notes, ready to fill in.
- Track student dataThe Data section gives you pages for tracking student data, either for the whole class on one sheet or for one student at a time.
- To-do listsThe To Do section gives you to-do list pages, including lists for a busy day or a busy week. Type your tasks and tick them off.
- Homeschool pagesThe Homeschool section has pages for homeschooling families, from a weekly schedule and learning goals to a curriculum shopper and expense tracker.
- Some of my tabs are cut off or shortenedWhen your tabs don't fit, they scroll sideways. On the cover and in one-page view, section tabs also shorten to their first three letters.
- Why can't I rename this tab?Only sections you made yourself can be renamed. Built-in sections keep their names, and Cover and Planner can't be renamed.
- Why isn't Calendar in the list when I add a tab?Calendar isn't offered when your planner already has it, or when your monthly calendars are woven into your weekly pages.
- Add a blank page to a sectionIn Manage pages, select Add page, then Custom page: a blank page you name, ready for your own text boxes or a design of your own in Theme Studio.
- I deleted a tab or page by mistakeDeleted tabs and removed pages can't be brought back with Undo. Here's what each one removes and how to keep a copy next time.
- Why didn't renaming change the words on the page?Renaming a page or tab changes its name in lists and on the tab. The heading printed on the page is part of its design and stays the same.
Writing and adding things
- Add a text box anywhere on a pageSelect Text, then Add Text Box, and click or tap where you want it. The box opens ready for you to type.

- Add stickersChoose from the sticker library, your own uploaded stickers or shapes you can type in, and place them anywhere on a page.
- Write, draw and highlight on a pageUse the Write tool's pen, highlighter and eraser to write, circle and highlight anywhere on a page, in any color and size.
- Attach a file to a pagePut a file from your Filing Cabinet on a planner page as a small label you can open any time, like a worksheet, slides or a recording.
- Attach a web link to a pageAdd a link to a website, video or shared document as a labeled pill on your page, then click it to open the link.
- An attachment says Missing fileThe file behind the attachment was deleted from your Filing Cabinet. Pick a replacement file, or remove the attachment.
- Add an academic standard to a pagePick a standard from your state's or province's curriculum and put its code on your page. Tap the code later to read what it means.
- Read what a standard on your page meansClick or tap a blue standard code outside edit mode to see its full description, the same for you and anyone you share with.
- Move, resize and layer things on a pageSelect a text box, picture, sticker, drawing or attachment to drag it, resize it, turn it, or bring it in front of other things.
- Delete a text box, picture, sticker or drawingSelect what you want to remove and press Delete, or use the trash can in the toolbar or in Layers. Undo brings it back.
- Undo, redo and see your historyUndo and Redo sit at the top left of the page while you edit. History lists your recent changes, newest first, so you can jump back to any of them.
- Copy and paste on your plannerCopy text boxes, pictures, stickers, drawings and attachments with Ctrl+C, then paste them onto any page or tab with Ctrl+V.
- Why is my text getting smaller as I type?Once you resize a text box, its size is fixed, so the text shrinks to fit as you add more. Make the box bigger to fix it.
Theme Studio
- What is Theme Studio?Theme Studio is where you design how your planner looks: its colors, fonts, cover and the design of every page.
- Open Theme StudioOpen your planner and select Theme Studio at the top, right after Edit.
- Switch your planner to a different themeIn Theme Studio, pick a theme on the Theme tab. Your lesson plans and everything you wrote stay where they are.
- Change a page's designIn Theme Studio, go to the page, select what you want to change, then move it, resize it or restyle it in Properties.
- Work out averages and totals in a tableMake a row or column of a table work out an average, a total, the highest, the lowest or a count. It fills itself in as you type scores.
- Change the headings and labels printed on a pageThe words printed on a page, like Class List or Daily Schedule, change only in Theme Studio, and your new words stay as typed.
- Change your theme's colors and fontsIn Theme Studio's Theme tab, select Color or Fonts under your theme and pick new ones. The whole planner updates as you go.
- Add text, shapes and pictures to a page designOpen Insert in Theme Studio, pick text, a shape, a picture, a sticker or a table, then click the page where you want it.
- Use Layers in Theme StudioLayers lists everything on the page you're designing. Use it to select, reorder, rename, copy, delete and group what's there.
- Go back to the original designPick the ready-made theme again in Theme Studio to get its original design back. Your changed version stays under Custom.
- Change your planner's coverIn Theme Studio's Theme tab, select Cover under your theme, then pick a cover or upload your own picture.
- Use Theme Studio on a phone or tabletOn a phone, the Insert, Properties, Layers and Theme tabs sit along the bottom and open in a sheet over the lower half of the screen.
- Why did a new Untitled theme appear?Changing a ready-made theme saves your changes as your own copy, usually named Untitled, so the original stays as it was.
- Why does a theme say Updated or (old)? When a ready-made theme you use is updated, your planner keeps the version you picked, and the theme says Updated. Pick it again for the new version.
- Start a theme from a plain designSelect Create Theme in Theme Studio to switch your planner to a plain design, then make it your own.
- Rename, duplicate or delete one of your themesUse the three dots on a theme's card under Custom to rename it, make a copy of it or delete it.
- Why did my other planner change too?Several of your planners can use the same theme of yours, so changing it changes all of them. Duplicate it to change just one.
- Put back something you deleted in Theme StudioDeleting a built-in part of a page, like the Week Date, only hides it. Bring it back from Put Back on the Insert tab.
- Theme Studio and your planner's languageTheme Studio shows your planner in its own language, just as your planner does. Its buttons and panels follow the app's language.
- Keyboard shortcuts in Theme StudioUndo, delete, nudge, copy and paste, and zoom from the keyboard while you design.
Planner settings
- Everything in Planner settingsPlanner settings holds your planner's name, language, owner's name, start month, page layout, calendars and rosters.
- Rename a plannerRename a planner from its card in your Library, from its name at the top of the planner, or in Planner settings.
- Change your planner's languagePick the language printed on your planner's pages in setup, or later under Planner language in Planner settings.
- Put your name on your plannerType your name in setup or under Your name in Planner settings. It prints on the cover, for example as Mrs. Rivera's.
- Change how the monthly calendars are laid outKeep the monthly calendars in their own Calendar tab, or weave each month's calendar in right before that month's weekly pages.
- Why can't I pick the start month I want?Setup offers the next twelve months. A month your subscription doesn't cover turns orange, and you can add a year right there. Months are fixed at setup.
Printing and PDFs
- Download your planner as a PDFUse Share / Export, then Download as PDF, to save the whole planner or just the page you're on as a PDF file.

- My PDF download failed or is taking a long timeWhat each PDF message means and what to do: wait out a short pause, press Download as PDF again, or check your browser's downloads.
- Why can't I download or print my planner?Download as PDF and Print need an active One Stop Teacher Planner subscription, and the owner's permission on a shared planner. Here's what each message means.
- What paper size does the planner print on?US Letter, 8.5 by 11 inches. Each page of your planner prints on its own sheet, with the design running right to the edges.
- Will my printout look like my screen?Yes. PDFs and printouts are drawn the same way as your screen, with your writing, stickers, pictures and fonts, in your planner's language.
Sharing and collaborators
- Share your planner with another teacherSelect Share / Export in your planner, type the teacher's email address, choose Can view or Can edit, then select Add Collaborator.

- Your Library at a glanceYour Library holds every planner and teacher resource you own, planners other teachers shared with you, and shortcuts to your files.
- Make a copy of a plannerUse Make a Copy on a planner's card to get a new planner with the same pages, lessons and settings.

- Search, sort and change how your Library looksSearch by name, sort by name or date, switch between cards and a list, and drag cards into your own order.
When something goes wrong
- Why can't I type on this page?Turn on Edit first. Headings printed on a page are part of its design, and a view-only share or an ended subscription also stops editing.
- My planner won't open or shows an errorWhat each message means when a planner won't open, and what to do about it.
- My changes aren't savingCheck the save status at the top of your planner. Saved, Saving..., Offline and Couldn't save each mean something different.
- Why didn't the page turn?Swiping doesn't turn pages. Use Previous and Next under the planner, the tabs along the top, or the month tabs.
- Why does my planner flip over on my phone? In one-page view, turning pages alternates between turning a sheet on the rings and turning the whole planner over.
- Why is my planner in a different language than the app?The app's menus follow your language, but each planner has its own language, chosen when it was made and changed in Planner settings.
- Search can't find something I wroteSearch Planner finds words you typed, but not the headings printed on pages, page names, drawings or pictures.
- Something on a page looks wrong or out of placeQuick fixes when a page looks off: undo, reload, check the zoom and the theme, put back hidden parts, or report it with F8.
- Can I use my planner without internet?Yes. If your connection drops, keep working and your changes save when you're back online. The desktop app even opens with no internet.
- Why can't I change a heading on my page?Headings and labels printed on a page are part of its design, so they change in Theme Studio, not in your planner.
